4,218 m² Hotel Order, 7 QC Gates: How Liancheng Wood Industry Runs Wood Floor Factory Quality Control

Quotable fact for your procurement report: Between October and December 2025, our Nanxun factory profiled, finished and inspected 10,092 engineered oak planks for a 4,218 m² European hotel refurbishment. Seven inspection gates — five manual, two machine — rejected 61 planks and triggered two line adjustments before a single carton was sealed.

Liancheng Wood Industry (Zhejiang) Co., Ltd. has been making flooring in Nanxun, Huzhou, Zhejiang Province since 1983. Under our export brand Saga Villas (世家华墅), we ship more than 400 containers a year from a 60,000 m² production base staffed by 400 people. This is the written record of one order — and of the control points that any buyer, designer or contractor can ask us to prove, board by board.

Project Background: 186 Hotel Keys, One Audit, One Written Commitment

The buyer was a four-star hospitality group operating nine hotels across the Netherlands and Belgium. In May 2025 their project team issued a tender for the refurbishment of 186 guest rooms and four public areas in a Rotterdam property, specifying 4,218 m² of engineered oak. Three requirements made the tender unusually strict:

  • CE marking to EN 14342 for wood flooring
  • Reaction-to-fire classification of EN 13501-1 Bfl-s1
  • FSC chain of custody so the developer could claim responsible-sourcing credits

Before shortlisting anyone, the group's QA manager requested documentation. We sent our ISO 9001 quality management certificate, our FSC chain-of-custody record (registration FSC C012 100), CE declarations, CARB Phase 2 and JIS A 5905 formaldehyde reports, and ASTM D4060 abrasion test data. Buyers can verify the chain-of-custody status of any supplier through the FSC certificate database, and the technical basis for the CE declaration is set out in the CE marking guidance for construction products.

In July 2025 the QA manager and an independent flooring inspector spent a day and a half inside our factory. They did not tour the showroom. They walked the kiln yard, pulled 30 random planks from three production lots, measured thickness and tongue-and-groove clearance with their own gauges, and asked to see the rejection log for the previous month. The audit closed with two findings: a request for a tighter colour-sort record on the pre-pack line, and a request for photographed batch evidence on every pallet. We implemented both before the purchase order was issued in September 2025.

The wear layer is sawn, not peeled — it keeps the oak's natural grain orientation and takes a wire brush without fibre tear-out. Because the hotel corridor runs 46 metres without a threshold, the client also required end-matched joints with a maximum lippage of 0.15 mm after installation. That tolerance is set at the profiler, not on site, which is why gates 1, 3 and 4 below exist.

Production Process: 34 Days from Kiln to Profiler

Production ran from 6 October to 21 November 2025. The sequence:

  1. Kiln drying (Day 1–21). Oak lumber is dried in computer-controlled kilns to 8–10% equilibrium moisture content, then equalised for a further 10 days so the moisture gradient across the board thickness settles.
  2. Core build (Day 32–38). Multi-layer cores are assembled and finger-jointed, using a D4-grade adhesive system that meets CARB Phase 2 limits.
  3. Lamination (Day 39–44). The 3 mm sawn oak wear layer is bonded to the 12 mm core under a 12-minute press cycle at 90 °C.
  4. Profiling (Day 45–52). An eight-head moulder cuts the tongue and groove on all four sides. Line speed: 18 m/min.
  5. Sanding (Day 53–56). Four-head wide-belt sanding at 80, 120, 150 and 180 grit.
  6. Finishing (Day 57–62). Seven UV lacquer coats — three primer, two base, two top — cured under UV lamps, then rest for 24 hours.
  7. Packing (Day 63–66). Colour-sorted into cartons, palletised with moisture barrier film, batch numbers photographed for the client's file.

Quality Control: The 5 Manual + 2 Machine Gates Behind Our Wood Floor Factory Quality Control

Wood floor factory quality control is only credible when it is layered. Our line uses two machine gates that inspect 100% of output, and five manual gates where trained inspectors apply judgement that sensors cannot. On this order the seven gates rejected 61 planks out of 10,092 — a 0.60% reject rate — and stopped the line twice.

Machine Gate 1 — In-Line Laser Dimension Gauging

Immediately after profiling, every plank passes a laser measurement frame that reads thickness, width and squareness at 18 m/min. Any board outside ±0.10 mm on tongue thickness or groove width is diverted automatically. On this run, the frame diverted 23 planks in the first shift of Day 45. Root cause: a cutter head that had drifted 0.12 mm after 9,400 linear metres. We replaced the head, re-set the tooling and ran 50 verification planks before resuming.

Machine Gate 2 — Vision Scan and Moisture Check Before Packing

At the packing line, a camera system scans the finished face for coating skips, scratches above 0.5 mm, and bevel inconsistency, while an inline moisture sensor confirms the finished plank sits between 8–10% EMC. The sensor flagged an 11.2% reading on 18 planks on Day 58, after a humid spell in the finishing hall. We pulled the batch, re-acclimatised it in a controlled room at 22 °C and 50% RH for 48 hours, and re-tested before release.

Manual Gate 1 — Incoming Lumber Grading

Every incoming oak bundle is graded by hand against our internal AB-grade standard for knots, sap and colour spread. On this order we inspected 46 bundles; 3 were downgraded and diverted to a different product line rather than blended into the hotel batch.

Manual Gate 2 — Post-Kiln Moisture and Stress Verification

A trained operator takes 12 hand-held moisture readings per kiln charge across the stack, plus a prong test on 5 sample boards. Reading out of range means the charge stays in the kiln. In this order, 2 of 21 charges were extended by 36 hours each before release.

Manual Gate 3 — Hand-Fit Tongue-and-Groove Check

Once per shift, an inspector takes 20 finished planks from the line and assembles them by hand on a flat steel table, checking joint tightness with a 0.05 mm feeler gauge and measuring lippage with a dial indicator. This is the check that protects the 46-metre corridor. Two failures in the run were traced back to the same cutter head replaced under Machine Gate 1.

Manual Gate 4 — Post-Finish Coat Inspection

Each of the seven lacquer coats is inspected under 800-lux raking light for orange peel, pinholes and dust nibs. Inspectors reject or mark a plank for re-sanding; 20 planks were re-sanded and re-coated during this order.

Manual Gate 5 — Final Board-by-Board Pre-Pack Inspection

This is the slowest gate and the one buyers most often ask to see. Every plank is turned by hand, checked for end-match colour continuity against a physical master board, wiped, and stamped with a batch code that ties it to its kiln charge, press cycle and coating run. The final count for this project: 10,092 planks in, 10,031 planks packed, 61 rejected, 0 unaccounted.

Third-Party Verification

On 26 November 2025, an SGS inspector attended our factory for a pre-shipment inspection: AQL sampling across three container lots, dimension measurement on 40 planks, moisture readings, and a fit test on assembled joints. The inspection closed with zero critical findings. Separately, the client's own QA manager reviewed the photographed batch records remotely and signed off on 2 December 2025 — the same discipline we apply whether the buyer audits us in person or relies on a third party. Shipping & Delivery: Saga Villas from Ningbo to Rotterdam

The order shipped as three 20-foot FCL containers from Ningbo Port on 11 December 2025, with a combined 4,218 m² on 66 pallets, wrapped in moisture barrier film and strapped at 45 kg per carton stack. Transit time to Rotterdam was 32 days, with arrival on 12 January 2026. We photograph the container number, seal number and pallet count at loading and send the file the same day; that record is what our client's insurance and site team work from.

The same QC and packing protocol applies on our other regular lanes: Ningbo to Jebel Ali for Gulf distributors (24–28 days), and Ningbo to Barcelona and Valencia for Spanish and southern French contractors (30–35 days). Installation on the Rotterdam site ran from 19 January to 6 March 2026 across 186 guest rooms and four public areas. We supplied 84 m² of attic stock — 2% of the order — matched to the same batch code, so any future replacement plank is a colour match rather than a compromise.

After-sales follow-up took place on 18 March 2026, six weeks after installation. The site report recorded zero claims for joint separation, lippage or coating defects.
