From Inquiry to Container Loading: How a European Hotel Group Sourced 1,860 m² of Engineered Oak in 30 Days

A 96-room hotel refurbishment in Rotterdam went from first inquiry to sealed container in exactly 30 days: 1,860 m² of 1900 × 190 × 14 mm engineered European oak, 5,154 planks, 21,390 kg net, packed on 43 pallets and loaded into 2 × 40HQ containers that gated in at Ningbo Port on 6 May 2026. Liancheng Wood Industry (Zhejiang) Co., Ltd. has manufactured wood flooring in Nanxun, Huzhou, Zhejiang since 1983 — 43 years — and ships more than 400 containers a year under our export brand, Saga Villas (世家华墅).

Project Background — How to Source Wood Flooring from China for a 96-Room Hotel
The buyer was a Netherlands-based boutique hotel group refurbishing a 1920s property into 96 guest rooms, 12 corridors, a lobby and a breakfast room. They had sourced flooring from Asia once before and received a mixed-grade container that had to be sorted on site. For this project they wanted a factory they could audit, not a trading company they had to trust.
Their technical consultant visited us in Nanxun in November 2025 — a full factory audit covering raw material storage, the pressing line, the profiling line, the finishing line and the conditioning room. That audit is why the 30-day timeline below was even possible: the qualification work had already been done four months before the order existed.

Day 1–3: Inquiry, Drawings and 14 Technical Questions
The inquiry arrived on 7 April 2026 with a floor plan and a single line: “1,860 m² engineered oak, hotel use, please quote.” We replied the same day with 14 questions, because a hotel floor is specified differently from a residential floor. We asked for subfloor type, expected underfloor heating, traffic class, fire rating required by Dutch building regulations, corridor width, expected site humidity at installation, and packing label format.
We also asked for the cutting plan. Their installer had calculated 1,860 m² including an 8% cutting allowance for herringbone-free plank layout, 96 rooms and 12 corridors. We confirmed that figure against our own take-off and agreed on it before quoting.
Day 4–10: Samples, Testing and Specification Lock
Three sample boards and one 1 m² panel shipped by DHL on 10 April and arrived on 13 April. The consultant tested them under four lighting conditions, checked surface hardness, and installed one panel over underfloor heating for 48 hours. Specification was locked on 16 April — ten days after first contact, with no factory visit required, because the November 2025 audit had already covered the equipment and the process.
Day 11–14: Deposit, Raw Material and Pre-Production Meeting
A 30% T/T deposit was received on 17 April. Because our stock logs arrive under FSC certification C012 100, we could release certified European oak for the top layer immediately rather than wait for a new shipment. On 19 April we held a 90-minute pre-production video meeting with the buyer’s consultant and installer, and agreed six formal checkpoints: moisture content, dimensional tolerance, colour range, lacquer gloss level, bevel consistency and packing marks.
Day 15–25: Production
Production ran from 21 April to 1 May — 8 working days for 1,860 m², an average of 232 m² per day on our engineered flooring line.
Day 26–30: Inspection, Loading and Port
On 2 May an SGS inspector spent a full day on site. Containers were loaded and sealed on 5 May and gated in at Ningbo Port on 6 May — day 30, exactly.
Product Specification — 1,860 m² of 1900 × 190 × 14 mm European Oak
Everything below was fixed by the buyer before production started.
- Species: European white oak (Quercus robur / petraea), FSC-certified under our chain of custody C012 100 — verifiable in the FSC public certificate database.
- Construction: 3-layer engineered. 3 mm sawn-cut oak wear layer over an 11 mm cross-ply plywood core. Sawn-cut, not peeled — the grain stays open and the board sands back cleanly.
- Size: 1900 × 190 × 14 mm, tongue & groove on all four sides. Profiling tolerance ±0.1 mm.
- Grade: AB, light character. Maximum 2 small knots per plank, no filler over 3 mm.
- Surface: wire-brushed, then 6 coats of UV-cured matte lacquer. Gloss level 8–12 GU at 60°.
- Bevel: 0.5 mm micro-bevel on the two long edges.
- Moisture content: target 8–10%, packed at 9.1%.
- Fire classification: EN 13501-1, Bfl-s1.
- CE marking: Declaration of Performance issued under EN 14342; background on what that requires is set out in the CE marking reference for wood flooring.
- Emissions: CARB Phase 2 and E0 adhesive. Also tested to JIS A 5905 and ASTM D4060.
- Packing: 859 cartons, 6 planks per carton, 2.166 m² per carton, 43 pallets. 24.9 kg per carton.
- Warranty: 20 years on the plywood core, 10 years commercial surface warranty.

Production Process — Inside the Liancheng Wood Industry Factory in Nanxun
Our production base covers 60,000 m² and employs 400 people. For this order, the route through the factory was:
1. Raw material. Kiln-dried European oak logs and flitches arrive at 8–10% moisture content. We re-check every bundle with a calibrated pin meter on receipt.
2. Top-layer slicing. The 3 mm wear layer is sawn from the flitch, then dried and stress-relieved. Sawn layers cost more than peeled veneers, but they hold their colour under hotel lighting and can be refinished twice.
3. Core assembly. The 11 mm cross-ply core is glued with E0 adhesive and hot-pressed at 110 °C. Cross-plying is what keeps a 1.9 m plank flat through a Dutch winter.
4. Profiling. The four-side moulder cuts the tongue and groove. Operators check dimensions with digital callipers every 30 minutes — 16 checks per shift.
5. Sanding. Three-head sander, 80/120/180 grit, then wire-brushed to open the grain.
6. Finishing. Six UV lacquer coats, cured between passes, then a final matte topcoat.
7. Conditioning. Every pallet sits 72 hours in a conditioning room held at 22 °C and 50% relative humidity before packing. That step is why the boards arrive at 9.1% and not at whatever the warehouse happened to be.
8. Packing. Cartons are labelled with room numbers as well as the standard marks, so the installer could stage the delivery by floor.
Quality Control — SGS Inspection, ±0.1 mm Tolerance, 8–10% Moisture
We ran six agreed checkpoints. The results for this order:

In-house QC pulled one plank in every 200 for a full dimensional check — 26 planks across the run. On 2 May, an SGS inspector attended for a full day and sampled 34 cartons drawn from 8 pallets, covering the first, middle and last production batches. All sampled tests passed; the report was issued on 4 May 2026 and shipped with the documents.

Shipping & Delivery — 2 × 40HQ from Ningbo Port to Rotterdam
We booked space on 22 April, before production finished, which is how a 30-day timeline stays a 30-day timeline. Containers were loaded at our factory on 5 May, sealed, and gated in at Ningbo Port on 6 May 2026.
- Route: Ningbo Port → Rotterdam, 34 days transit. Vessel departed 9 May, ETA Rotterdam 12 June 2026.
- Terms: FOB Ningbo. CIF Rotterdam and DDP options quoted on request.
- Pallets: heat-treated to ISPM 15, marked and stamped.
- Documents released within 48 hours of sailing: Bill of Lading, packing list, commercial invoice, CE Declaration of Performance, FSC invoice reference, SGS inspection report, ISPM 15 treatment record.
- Container loading: 23 pallets in container one, 22 in container two. Net cargo weight 21,390 kg, total gross 23,050 kg.
We also quote the same construction to Dubai, Barcelona and Valencia on comparable transit times — Ningbo to Jebel Ali runs 18–22 days, Ningbo to Barcelona and Valencia 30–34 days.
After-sales. On 21 July 2026, five weeks after arrival, the installer reported 6 cartons (13.0 m²) with edge damage from forklift handling on site. We shipped replacements by air on 24 July and they were delivered on 27 July — before the third floor was laid. Replacement material for site damage is part of our standard commercial warranty, not a favour.
Conclusion — What a 30-Day Order Timeline Actually Proves
Thirty days is not a marketing claim in this case; it is a dated sequence. Inquiry on 7 April 2026. Specification locked on 16 April. Production from 21 April to 1 May. SGS inspection on 2 May. Gate-in at Ningbo Port on 6 May. Rotterdam arrival on 12 June. Replacement cartons delivered on 27 July.
What made it possible was not speed for its own sake. It was a November 2025 factory audit, FSC C012 100 chain of custody that let us release certified raw material on the day the deposit cleared, a 60,000 m² plant with 400 employees and 400+ containers a year of export volume, and a QC process where every number above is recorded and released to the buyer.
